Organization of Postgraduate Education Courses and Technical Workshops

One of the central roles of ESCMID is the promotion of knowledge in clinical microbiology and infectious diseases. The Society intends to support specific Postgraduate Education Courses (PGECs) and Technical Workshops (PGTWs) for junior and senior scientists by

  • Encouraging affiliated national societies, ESCMID Study Groups and individual members to submit projects and proposals
  • Lending its logo to courses whose scientific content is approved by the Education Officer
  • Providing financial contribution to selected projects.

ESCMID PGECs focus on a specific clinical and ESCMID PGTWs on a specific technological issue. For the organisation and support of a PGEC or PGTW the following rules apply:

1. Organisation

PGECs or PGTWs are usually not organised by ESCMID but by individual members, affiliated societies or ESCMID Study Groups.

2. Proposal

The organiser of a PGEC or PGTW seeking support by ESCMID must submit a proposal at least ten months in advance to the Education Officer with copy to the ESCMID Executive Office, containing the following information:

  1. Title of the course
  2. Location, date and duration
  3. Explanation why the PGEC or PGTW is considered important
  4. Name and address of the person responsible for the educational programme
  5. Address of the administrative secretariat
  6. Scientific programme
  7. Objectives of the course
  8. Target audience and minimum/maximum number of participants
  9. Faculty
  10. Prospective date of application for CME accreditation through: www.ebaid.org
    www.ebacm.org
  11. Rough budget, including faculty expenses, meeting facilities, accommodation costs, tuition fee and sponsoring.

3. Evaluation

Support by ESCMID is subject to approval by the ESCMID Executive Committee. ESCMID supports a maximum of ten events annually with up to EUR 10’000 each. Of the EUR 10’000 a maximum of EUR 2’000 (EUR 4’000 for PGTWs) may be used for central (administrative, technical) purposes, the rest must be spent for attendance grants paid to individual participants. If financial support by ESCMID is requested, the number of local participants must not exceed 50% of all attendees.

4. Participants

If the number of participants is lower than 25 for PGECs or 18 for PGTWs the maximum support by ESCMID is reduced by EUR 500 per participant lacking to reach this quorum. ESCMID does usually not support educational activities with less than ten participants.

5. Education material

The organisers are strongly encouraged to request active participation by the attendees in the form of an abstract of a case - or a problem - to be discussed during the course or workshop. Also, they are encouraged to gather the education material in order to make it available on the website of the Society.

6. Announcement

The PGEC/PGTW is announced in ESCMID News, on the ESCMID website and by regular mailing of a leaflet to all ESCMID members. PGECs or PGTWs organised by affiliated societies announced to their members must also be announced to the entire ESCMID membership.

7. Leaflet

The leaflet must be produced and the printing costs paid by the organiser. A total of 3’200 copies are to be sent to the ESCMID Executive Office at least six months in advance to the course or workshop for distribution to the ESCMID membership. The mailing costs are covered by ESCMID. The leaflet and all other announcements must carry the ESCMID logo, mention that this is the x-th ESCMID PGEC or PGTW and give instructions about applying for an ESCMID attendance grant.

8. Attendance grants

Applications for attendance grants by ESCMID must be directed to the local Course/Workshop Secretariat together with a short CV. The decision about approval is made by the organiser of the PGEC or PGTW and the ESCMID Executive Office (and notified to the Education Officer), taking into consideration the qualification of the applicants, their age (below 40 years), the submission of a case (if required), and previous grants received. At least 50% of the ESCMID attendance grants should be paid to attendees coming from other countries than the society organising the PGEC or PGTW. This decision is taken and communicated to the applicants at the latest ten days after the application deadline. An attendance grant should at least cover the tuition fee. It usually amounts to around EUR 500 and should not exceed EUR 1’000.

9. Report

Within two months after the course or workshop, the organiser should send a report to the ESCMID Executive Office, consisting of a:

  • Short meeting report written by a participant with an ESCMID attendance grant (chosen by the organiser) to be published in ESCMID News
  • Brief evaluation by the organisers whether the objectives of the event were attained based on the feedback from the speakers and participants
  • Final list of participants, indicating who received a personal ESCMID attendance grant
  • Closing financial account; in case the course closes with a positive balance, 50% of the surplus must be remitted to the Society.
